What should I put in the "Client message" box?

When you apply to a brief, in addition to indicating the number of days and your day rate in your quote, there's a box where you must write a message for the client. We know it's intimidating, so here are some tips, examples, suggestions, to avoid the fear of the blank box.

Why is this mandatory?

At the end of 2021, we decided to make this box mandatory for two reasons: **- clients react VERY positively to these messages **: it gives them a glimpse of who the person we are presenting is, beyond our loving personalized description, and the traditional Linkedin/portfolio. A good message augments your chances of being selected for an assignment. **- It helps establish communication: we know the experience of a "platform" can be a bit cold, it's the case on both sides, and using this box to react to a brief, show your enthusiasm or raise your questions, is an opportunity to lay a good foundation for the relationship.

How to write a good message for a client?

First thing to know: this message doesn't have to be super long: you don't become a freelancer to write cover letters!

Then, in the one we have seen work, you always find the same elements:

How does billing work?

Let's talk about the real stuff.

📈 So how does billing work with acracy?

LAUNCH INVOICING AT THE END OF THE PROJECT: at the end of a mission (or at the end of the months, for long ones), on your dashboard, click on "invoice" and fill in the billing information: work dates, number of working days, invoice number and VAT rate (if applicable), your billing reference, and your legal mentions (optional), etc. Do NOT include our commission.
CHOOSE FAST-TRACK OPTION OR NOT: before confirming your invoice, you can choose whether or not to activate the Fast-Track option, which allows you to receive payment in less than a week for a 3% fee of your invoice amount. If you activate it: you have nothing else to do, just wait for the money. We automatically deduct the 3% from the amount we pay you, and send you an invoice for that 3%, which you can find in the "Invoices" tab of your dashboard. If you have chosen Auto-Thune, you will receive a payment with the 3% already deducted, and we will send you an invoice directly for that amount. NO NEED to send us payment.
YOUR INVOICE IS GENERATED: your invoice will be auto-generated by our system. With your invoice number, VAT number, etc., so they can be entered into your accounting. No need to send us yours. You can download it directly from the "Invoices" page of your freelance space to add it to your accounting.

Fast-Track will soon stop running 🫤

After a good few years of faithful service, Fast-track (Auto-Thune) will officially come to an end on 14 May 2025.
Fast-Track was our invoice financing option – it allowed you to get paid within a few days, in exchange for 3% of your invoice total.

Why it’s coming to an end 🛑

We really did everything we could to keep it going. But after months of back and forth, our partnership with Aria (the external provider behind Fast-Track) has simply become too complicated. For a mix of financial and regulatory reasons, Aria has tightened the screws:

The cost of the service has gone up (you may have noticed the pinch 💸)
Fewer missions became eligible over time (some of you saw Fast-Track quietly disappear for their clients)
And more recently, they’ve introduced operational changes that we just can’t implement without disrupting – or downright breaking – the way we handle payments with our clients.

Long story short: we’ve mutually agreed with Aria to part ways. Fast-Track will shut down for good on 14 May.

🤨 So what now?

We know Fast-Track was a lifesaver for many of you, especially on longer missions.
Here’s how we’re doing our best to soften the blow:

How to invoice every month on a recurring mission?

For recurring missions, here are the steps to follow.

Option 1 - You have a large quote (for example, for 6 months) and you want to invoice it in several installments.

This is easy. On the "Quote" tab of the mission, click on "Invoice" on the corresponding quote, indicate the period concerned, and launch an interim invoice. You can invoice as many times as you want within a quote.

When you have invoiced the entire quote, then you need to launch a new quote, which brings us to…

Option 2 - You have made a partial quote, or you have finished the first quote and the mission continues.

At the end of the quote - launch invoicing on the current quote.

On the "Quote" tab of the mission, click on "Invoice" on the corresponding quote, indicate the period concerned, and launch an invoice.

At the beginning of the following month: launch a new quote.

When the initial quote has been invoiced (for example, an initial quote for 3 months, but now it's been 4), in the "Quote" tab, click on "Create an additional quote". At that point, you will have the option to issue a new quote for a "Mission Extension". You just have to fill in the number of days of work planned for this mission in the upcoming month (or period) and validate. The client can then accept this quote, launch purchase orders, and all that.

At the end of the month,

You can access the mission via your dashboard, choose the quote for which you wish to invoice, and issue your invoice by clicking on "Invoic

I requested an interview with a profile, what is the process from there?

If you have shared your availability, the freelancer will be able to indicate if he/she is available for the proposed time slots. If so, you will receive an email with their confirmation and contact details to send them an invitation. If she/he is not available, you will receive alternative time slot proposals. At any time, the acracy team is available to help you set up the interview.
